Receivables management with Claire
Watching open items is exactly the kind of work that repeats every week. This is how you set up a steady routine with Claire, from ageing analysis to draft reminder, with you at the wheel.
Start with the ageing analysis
Ask for an ageing analysis and Claire fetches every outstanding sales invoice and sorts them into buckets: up to 30 days, 31–60, 61–90 and older. You see per customer where the money sits. The playbook only counts once every item is in, so the total is the real position, not an indication.

Zoom in where it hurts
Follow up on the item that stands out: which invoices sit behind it, since when, and what has already been received. Claire fetches the details per customer, down to the invoice lines.
- "Which invoices from Van Dijk Techniek are open, and since when?"
- "Which receipts landed on this customer this month?"
Have the reminder written, send it yourself
Claire does not send email herself. She does write a draft reminder per customer from the open items: invoice numbers, amounts and due dates, in the tone you ask for. She keeps the draft as a file in the conversation workspace; you check, copy and send.
Put a weekly rhythm on it
Create a schedule on the connection page, say every Monday at 08:30: build the ageing analysis, compare with last week and name every item newly past 60 days. The result appears as a conversation in the sidebar; you get an email only when something stands out. How schedules work is in The month-end close and schedules.
What happens by itself, and what does not
- Claire reads and analyses on her own; changes to your administration always wait for your approval.
- Claire does not send emails to customers; writing drafts she can.
- Figures come fresh from Exact Online per question; no copy builds up outside your administration.
